Space Privacy 2.3 for Confluence extranets: optimized user experience for app administrators

Space Privacy – Extranet with Confluence is the solution for building a secure and flexible extranet system that facilitates teamwork and collaboration with external user groups such as clients, partners, distributors and even competitors. Among other things, Space Privacy prevents users who belong different extranet spaces from seeing or finding out about one another, unless they are members of the same space. The solution offers flexible user management with additional roles for both administrators and users. It's compatible with many other Confluence apps, so user-specific features can be filtered, just like it can be in Microblogging for Confluence.

In Space Privacy – Extranet with Confluence version 2.3, our development team paid particular attention to the user experience of app administrators in this latest iteration. This is what’s new.

Complete overhaul of the app administration

On occasion, software teams are guilty of forgetting about the people who will administer the systems they deliver. The broader user groups tend to get all the attention when it comes to crafting a good and efficient user experience, but sometimes administrators just seem to fall through the cracks. Administrative functions get sneakily tucked away in confusing menus that are only “explained” in administration guides that are complicated and full of technical jargon. We treat the administrators as if they were all nerds who secretly love to fumble through tricky settings in their day-to-day work.

Naturally, in reality, most administrators have completely different priorities to attend to. They'd prefer it if they didn’t have to painstakingly track down the functions they want, then waste more time just trying to understand long-winded user guides.

When an administrator goes into the administration area of a Confluence app, they have a clear goal in mind that they want to achieve quickly. They need to change a setting before they can move onto their next task. The administration area should help them achieve that: Functions should be quick and easy to find and the documentation should be clear.

Our development team has been focused on this for the new release of Space Privacyand completely overhauled the administrative features. The update to the app administration includes a new structure with menu items and tabs so that functions are quick and easy to identify and locate. In addition, the documentation has been simplified so it is clearer to understand.

That means that Space Privacy makes administrative more efficient – from the initial setting-up through to daily management.

The check on user directories during set-up

When you set up Space Privacy, you have the option of integrating external user directories, like an existing LDAP system. The app administration also provides better assistance here.  Space Privacy will do a quick but comprehensive check for the user directories to simplify the initial set-up.

Predefined administrator roles

To standardize and support the extranet spaces’ administration, Space Privacy lets you use predefined administrative roles for spaces (e.g. extranet manager and extranet user-manager). Administrators can specify which users and groups should get these roles for extranet spaces by default.

In earlier versions of Space Privacy, however, this configuration wouldn't work for a user who was assigned to a new space and didn’t have any administrator rights. That's been changed: predefined administrator roles can also be set for a user in this situation.
